About the role

As our Retail Development Coordinator, you will provide administrative support for the Retail Development Team and assist in the shop fit process including but not limited to scheduling necessary visits, collaboration with relevant departments, collecting documents from Brands and get approvals.

Key responsibilities

The key responsibilities of this role will include some or all the following.

Shop Fit Assistance
  • Assist in Brand Orientation by coordinating visits, briefing and supply of all information relating to shop fit
  • Monitor shop fit progress on site and ensure the agreed timeline is respected and provide feedback if necessary
  • Collect and review the documents provided by Brands to ensure that Brands comply to statutory requests of VR and local Authorities i.e. insurances, permits
  • Collect the documents provided by Brands and ensure proper and complete information is issued by the Brand to VR for approval
  • Assist with monitoring and tracking of on-going development construction
  • To ensure all the Health & Safety protocols are followed by the brands when performing works in the unit
  • Provide support on scheduling all visits from Brands in co-ordination with other departments, prepare reports respectively for follow up actions
  • Assist in scheduling and coordinating all shop fitting programmes/timelines
  • Work closely with relevant departments on all shop fit related issues
  • Work closely with leasing department on all legal issues relating to shop fit and subsequent feedback and support the re-fit proposals if requestd
  • Schedule and participate in all site meetings with Brands and take minutes if necessary
  • Post shop fit tracking and follow up on all snagging related issues
  • Support special projects when requested and assist in designing proposals for special projects and the relevant follow up actions

Administrative Support
  • Provide administrative support for the Retail Development Director and the team
  • Ensure that all necessary approvals are delivered timely to the Brands
  • Standardise and manage all internal protocols
  • Get quotations for the tender processes and provide administrative support
  • Check warranties in place where applicable and make requests when necessary
  • Provide support on issuing legal purchase orders to external consultants
  • Manage flow of information between Retail Development Director and consultants including (appointments, plans submittal, timing, billing etc.)
  • Manage flow of information between Retail Development Team and Operations Team
  • Manage flow of information with other Departments


About You

We are looking for an experienced individual who can display the following skills:
  • Degree education or relevant qualification is preferrable
  • Proven experience in the construction or architecture industry with sound knowledge of technical and legal issues
  • Computer literate and high proficiency in Microsoft Office Suite, AutoCAD, Bim systems, 3D software and Photoshop Computer literate
  • Ability to draft policy documents
  • Able to work well with all levels across the business and customers with a creative and open minded capability to adapt to a fast pace environment
  • A good communicator
  • Ability to prioritise your work to meet tight and multiple deadlines
  • Ability to both work as a team and work independently with minimal supervision
  • Excellent organization skills and able to work under pressure
  • Fluent in English and local Village language, any other European language beneficial
