Job Description:

At the Fashion Institute of Technology, the HR Information Specialist is responsible for managing and maintaining HR information systems and confidential records. The subject matter expert will lead employment-related data acquisition, analysis, and consultation for the operations of HR including collective bargaining agreement administration, grievance processing, arbitration, legal compliance, workforce planning, and other related initiatives. Will develop business and technical requirements, configure and customize systems, design and build reports and queries, and perform testing and quality assurance. This position will report to HR and indirectly to IT to ensure access to IT resources, training, and for the assignment of tasks to support the technology systems and related needs of Human Resources.

Essential Functions:

Client/Information Expertise and Support
  • Utilize all HR systems to extract and analyze confidential employment data from Banner, Interview Exchange Applicant Tracking, Onboarding, and integrated systems (I-9 verification, Criminal Background Services, etc).
  • Serve as the management team data expert for preparation for and during contract negotiations, contract administration, and other labor related compliance and projects.
  • Develop, write, and facilitate complex HR reports involving confidential data via Argos reporting software. Oversee HR report library for data integrity and security.
  • Use HR systems knowledge and experience to partner with HR subject matter experts to design, develop, and maintain HR systems.
  • Lead continuous process improvement initiatives to create and/or transform business needs into user, functional, and system requirements through enterprise systems/services, including the Banner HR module.
  • Provide excellent and timely service.

Technical & Business Support
  • Provide operational, functional, and technical support for the design, development, configuration, and/or customization of enterprise applications, systems, and services.
  • Primary responsibility to ensure data protection and confidentiality; monitor and manage user access.
  • Assist FIT Cybersecurity in assessing risks and addressing potential data breaches.
  • Perform business and technical analysis and documentation for system maintenance/patching, modifications, and enhancements.
  • Design/author system/service requirements, configurations, and specifications, working closely with enterprise software engineers.
  • Develop and maintain documentation (e.g. charters, implementation plans, user guides & testing, knowledge base articles, etc.) for existing, modified, or new systems, applications, solutions, or services. Participate, coordinate, and/or document the user acceptance testing.
  • Review new systems, modules, and workflows for potential implementation.
  • Train FIT employees on applications, systems, and/or tools related to the unit's supported operation.
  • Liaise with vendors.
  • Interact effectively in a highly-paced, collaborative, and multi-stakeholder environment.

Project Management
  • Act as the lead Project Manager for IT-related projects within the Human Resources Division. May work on cross-functional teams and other continuous improvement projects as assigned.
  • Manage all aspects (schedules, resources, communications, issues, risk, and implementation) and deliver results on-time, on-budget, and in scope).

Requirements:

Minimum Requirements:
  • Associate's degree in human resource management, information technology, business, or a related field and a minimum of 3 years of working experience in information systems services, business analysis, and/or project management with a focus on analyzing, developing, documenting, designing and delivering technology. Bachelor's degree preferred.
  • Experience performing effective service, support, and management of technical needs and solutions.
  • Experience independently managing priorities and projects.
  • Experience designing and developing custom reports and queries.
  • Experience testing and debugging new and modified computer solutions.
  • Experience with one or more Information Systems, preferably Ellucian Banner (HR Module) or similar.
  • Experience working in a higher education is preferred.

Knowledge, Skills & Abilities:
  • Technology- Knowledge of computer hardware and software, including systems, applications, report writing, and configuration and customization experience. The ability to work proficiently within Microsoft Office including PowerPoint, Microsoft Project, and Google Workspace tools - as well as Smartsheets, FileZilla or similar file transfer tools, and other HR tools as needed.
  • Data Information - Knowledge of database table structures and proper use to maintain clean data and integrity. Ability to maintain and protect confidential data from unauthorized use.
  • Critical Thinking & Complex Problem Solving- Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to system and service problems.
  • Quality Control Analysis & Troubleshooting- Conducting tests to evaluate quality or performance; determine causes of operating errors.
  • Service Orientation - Actively looking for ways to help people and to improve the existing enterprise application portfolio.
  • Effective Communication - The ability to communicate information and ideas in speaking and writing so others will understand.
  • Time Management & Prioritization - The ability to work on multiple projects under tight project deadlines.
  • Physical Requirement - Constant sitting, constant standing, occasional bending, occasional walking, and occasional lifting 10 lbs. or less.

Please note all offers of employment are contingent upon successful completion of the background check process.

Salary Schedule:

$93,822.26 (Minimum) - $135,565.52 (Maximum)*

*This is a confidential salaried exempt position. Starting salary is commensurate with experience. Annual step increase after one year of service and annually thereafter until maximum of range is reached. There are 10 steps from minimum to maximum of range.

Work Schedule

Days/Hours: M-F, 9am-5pm, primarily in person; flexibility for hybrid work schedule possible. All scheduling is based on needs of the department.
